To change the question limits for a part-time user, follow these steps:
- Click the People tab on the top navigation bar.
- Select the user you'd like to update.
- Navigate to the User Management tab.
Adjusting Available Days:
- On the right-hand side, locate the Learner Question Settings section.
- Review the Available for Questions days list and toggle off any days the user is not available. For example, if the user only works Monday, Tuesday, and Wednesday, toggle off Thursday, Friday, Saturday, and Sunday.
Changing Daily Questions Limits:
- Click the Override Company Default button and enter the new number of daily questions the part-time user should receive.
Adjusting Weekly Limits:
- If you want a part-time user to contribute equally to the leaderboards as a full-time user, you can adjust their weekly question limit.
- Example: If full-time users receive 2 questions per day (10 questions per week), adjust the part-time user’s weekly limit to 10 questions.
- The part-time user working 3 days a week will now receive a total of 10 questions, which could be distributed as 4 questions on Monday, 4 on Tuesday, and 2 on Wednesday.
This setup ensures that part-time users have an equal opportunity to contribute to the overall organisation competency and topic leader boards, despite working fewer days than full-time users.
Why Part-Time Settings Reset After a File Upload — and How to Fix It
A known issue affects part-time user settings after a bulk user file upload. When a user file is re-uploaded via the Management Portal or via SFTP, the AvailableOnDays field (which controls which days a user receives questions) can be reset to the company default — causing part-time users to receive questions on their non-working days and potentially lose their streaks.
Why this happens
The AvailableOnDays field is not included in the standard user upload template. When a file is uploaded, the system processes all fields in the file. If AvailableOnDays is not in the file, the system may revert it to the default (all days enabled). This is particularly common after DHL, Zenith, Interactive Investor, and other customers who upload large user files regularly.
How to detect it
Signs that working day settings have been reset:
• Part-time users report receiving questions on their non-working days
• Part-time users are losing streaks despite having leave logged
• Multiple part-time users are affected at the same time (indicating a batch issue rather than individual misconfiguration)
How to fix it
For individual users:
1. Go to People → select the user → User Management tab.
2. In Learner Question Settings, toggle off the non-working days.
3. If the user lost their streak as a result, raise a support ticket for a streak restore (see the Restoring Streaks article).
For a group of part-time users affected at once:
1. Compile a list of affected users' email addresses and their correct working days.
2. Raise a support ticket with the list attached.
3. The team can restore working day settings in bulk and action streak restorations for the affected period.
| ⚠️ Prevention | After any bulk user upload (whether via the Management Portal or SFTP), verify that part-time users' working day settings are intact by spot-checking a sample of known part-time users. If you upload user files regularly, ask your CSM to confirm whether your upload template preserves the AvailableOnDays field. |
Configuring Working Days for International and Regional Users
For organisations with users in multiple countries, working day and holiday configuration requires extra attention. Here are the most common international scenarios.
| Scenario | What to do |
| User has a different non-working day (e.g., Friday in UAE) | Go to People → the user's profile → User Management → Learner Question Settings. Toggle off Friday (and any other non-working days) for that user. If multiple users in the same region share the same pattern, update them in bulk. |
| User needs a specific public holiday applied that isn't in the standard calendar (e.g., Eid Al Fitr) | Raise a support ticket with: the holiday date, the country/region, and the specific users or LOCATION_COUNTRY field value it should apply to. Include the date as early as possible - the team needs at least 24 hours to add custom holidays before the date. |
| User is receiving questions on days they shouldn't be (Japan, India, etc.) | Check both the working day toggle (People → User Management) AND the Region setting on their profile. If the region is set incorrectly, the wrong public holiday calendar will apply. |
| User wants to pause questions during a long leave period (sabbatical, maternity) | Use the Temporarily Suspend option in User Management. This pauses all question delivery while preserving their account, history, and streak intact. |
